Administrative Assistant

Essential Duties and Responsibilities
·       Enter client Intake data in ECVC’s EMR system.
·       Verify accuracy of billing data (attendance, transportation, units of services, dates of service) and revise any errors.
·       Operate typing, adding, calculating, and billing machines.
·       Keep records of invoices and support documents.
·       Coordinate maintenance of fleet of cars for staff.
·       Handle general inquiries and takes messages for staff.
·       Answer telephone and direct calls as appropriate.
·       Maintains client records, ensuring all required documentation is present within all prescribed time frames.
·       Maintains computerized client tracking system status changes
·       Maintains first aid supplies and office supplies inventory.
·       Completes monthly billing for clients.
·       Revise and print attendance sheets.
·       Export, total, translate and enter monthly client notes/units of service/documents from internal EMR system (SIGMUND) into 2 external EMR systems (BEAM & ECBH/Trillium Portal Direct).
·       Completes paperwork necessary to enroll new clients.
·       Track client statuses monthly and annually in Excel for reporting to other departments.
·       Track and report daily earnings to Payroll staff.
·       Verify accuracy of transportation billing for payment authorization.

Other
·       Copies written materials and distributes as appropriate.
·       Records and maintains minutes of designated committees.
·       Substitutes at switchboard for receptionist as necessary (mornings and as needed lunch/breaks).
·       Responds to routine, written inquiries regarding client wages, confidential information, etc. Assists clients as needed for such things as first aid, telephone calls, change, etc.

·       Critical Thinking and Reasoning- Apply commonsense understanding to carry out multi-step but straightforward instructions.  Deal with problems involving a few concrete variables or in standardized situations. Frequent decisions, often involving initiative in identifying problems and potential solutions.
·       Communication- Ability to understand verbal work orders and instructions; Write straightforward material such as nonstandard letters. Read and understand material such as detailed operating and procedure manuals, case histories, etc.  Occasional public contact requires normal courtesy, giving/receiving and explaining information, handling complaints.
·       Mathematical Skills- Ability to add, subtract, multiply, and divide.
·       Record Keeping- Enter, check, and verify data; copy and file records; track/collect data; compile, summarize, simple computation of data; research and verify data; legally required reports for accreditation, take minutes of meetings or dictation.
·       Computer Literacy – Basic knowledge of computer and computer programming use; Software used: Pro-IV, Microsoft office (Word, Excel), etc.  Thorough knowledge of referral source software programs expected (BEAM, SIGMUND, ECBH).

Physical Demands
·       Sedentary work with lifting and/or moving objects up to 10 lbs. occasionally, sitting most of the time.
·       Ability to hear and speak
·       Good visual acuity including depth perception, color discrimination, and peripheral vision.
·       Ability to reach, handle, finger
·       Repetitive use of hands/arms

Work Environment
·       Frequent interruptions
·       May handle difficult clients/customers

Education and Experience
·       Preferred 2 year degree plus 1 year experience with data entry, medical billing or other computer based system processing or equivalent combination of education and experience.

Seeking a candidate who is dependable, pleasant, self- motivated, a quick learner and works well in a team. Must be able to transfer data accurately and give attention to detail. Fast paced environment with a lot of repetition, bending and lifting. Candidate must be able to lift 50 pounds. Candidate must have excellent, customer service skills. This position requires a few hours of driving a company vehicle each week. Candidates must have a clean driving record and a clean, drug screen. Work schedule is Monday through Friday; 8am-5pm (one hour lunch). Many benefits offered. Starting pay around $9.50/hour; however, pay will commensurate with experience.

ECVC - is looking for a temporary Secretary/Receptionist to work for 6-12 weeks until we can find the right person to hire for the Administrative Secretary positon in our Programs Department.  The hours will be 7:30 am to 4:30 pm at the 2100 N. Greene Street location. 
Duties and Desired Traits are:
1.       Have great people skills
2.       Be attentive to details
3.       Have excellent organizational skills
4.       Be a quick thinker
5.       Keep stock of supplies and order as needed
6.       Be efficient at taking meeting minutes
7.       Serve in the rotation of covering the switchboard and reception area daily.  Use a multi-line phone system and be able to transfer calls and/or take messages.
8.       Have great computer skills.
9.       Excel is a must.
10.   Be able to do Data Entry
11.   Scan documents
12.   Be a team player and be willing to be flexible during this transition period.
13.   Salary will be $12 – 15/hr (depending on experience)
14.   CRC Preferred

Entry Level Operator and Entry Level Production position

Free Interview Workshop

Free Interview Workshop - July 15th
We are excited to again offer the free workshop, entitle - Acing the Interview. This workshop is design to develop and sharpen your skills regarding the interview process. It will highlight critical steps you need to focus on - before, during and after the interview process. This is a 2-hour workshop that will enhance your ability to approach any interview with greater confidence, and understand the dynamics of how to showcase your strengths. If you have not previously attended an interview class or workshop at PCC, I urge you to attend this one.
The workshop is scheduled for: July 15 (Wed), from 2:00pm – 4:00pm, at the PCC Greenville Center (3107 S. Memorial Dr.), in Room 403. Customer Service Rep 2

A local company has openings at their Call Center for the position of Customer Service Representative 2.
Basic Qualifications:
1+ years of customer service experience, and 1+ years computer experience. Customer service focused. Proven experience with listening and eliciting information effectively. Demonstrated excellent verbal and written communications skills. Strong PC skills including ability to troubleshoot common problems and navigate the internet/intranet.
Strong customer orientation/sensitivity and professionalism. Well-developed organizational and time management skills. Proficient Typing/Computer skills with a high level of accuracy.
Ability to sit for long periods of time, while taking continuous customer calls. Ability to work independently and multi task in a fast paced, ever changing environment.
Position Hours: Must be available to work any shift during center’s hours of operation. Current hours of operation are: Monday – Friday, (8 am – 9 pm).
For the first six weeks, the training schedule will be Monday – Friday, (8 am – 5 pm).
Training Class begins on 8/3/2015.
Hours may change due to business needs. After training, your initial schedule will be Monday – Friday, (12 pm - 9 pm), not including 1.5 hours of mandatory overtime per week. Possibly open on Saturdays in the future.
**NOTE** - We have a shift bid process every 6 months where our team members bid on their preferred shift. The shift is then assigned based on performance, tenure, and eligibility.
Preferred Qualifications:
Call center experience. Experience in a customer facing environment with proven ability to develop customer rapport, problem solve, and respond to customers’ needs.
Experience in banking, finance or auto finance/dealership industry. Ability to read/write/speak, English and Spanish.
CRC Preferred.
